Are you an organized and detail-oriented professional seeking an entry-level position with growth potential? Look no further! We have an exciting opportunity for a Team Assistant in Johannesburg, South Africa, within the Operations Group of the Customers & Products entity.

Job Summary:

As a Team Assistant, you will play a crucial role in supporting the General Manager of the Midstream team and their direct reports. This position requires a proactive and skilled individual with experience in executive support roles, offering the chance to contribute to key operational and administrative functions.

Key Accountabilities:

A. Management of Key HSE Safety Agenda Items:

  • Act as the HSSE and Fire Marshall for the Midstream floor, representing Midstream at safety meetings.
  • Communicate the office safety agenda and meetings as required.
  • Maintain the Midstream HSSE notice board for effective safety communication.
  • Manage the Midstream DSS database and submit to line managers for necessary actions.

B. Provide Secretarial and Administrative Support:

  • Coordinate internal meetings, travel arrangements, and ad hoc arrangements.
  • Manage and follow up on actions, emails, and correspondence.
  • Coordinate team meetings and assist with planning external meetings and office events.
  • Capture and process monthly expenses via the Concur System.
  • Control and coordinate the purchase and issuance of office stationery.
  • Assist in planning and coordination of external meetings and office events.
  • Maintain the annual leave roster for the General Manager Midstream and their direct reports.
  • Provide administrative support for international visitors.

C. Coordinate & Manage Other Key Administrative Activities:

  • Process Purchase Orders and maintain the PO database.
  • Assist with preparation of presentation materials.
  • Liaise with CBM team to coordinate and plan monthly reviews and associated planning.
  • Maintain the Midstream and Refining DMS database.
  • Act as the POPIA Act SPA for Midstream and Refining.
  • Arrange monthly Midstream and Refining Townhalls.

Job Holder Requirements:

Education:

  • Matric, Secretarial Diploma, or equivalent.

Experience:

  • Previous experience in an Executive Support Role (3-5 years), with relevant experience in supporting Senior Leaders/Executives.

Travel and Relocation:

  • No travel is expected for this role.
