To provide administrative/secretarial services to the Manager and enable the administrative
efficiency and compliance of the Section / department; whilst providing administrative support
functions.

Responsibilities:
• Develop and give input to systems and processes that enable effective and efficient
administrative and secretarial functions (e.g. secretarial work processes, document management
systems, administrative support functions, etc.). Ensure that work standards are met according to
quantity and due dates. Capture data within a standardized format and develop new documentations.
• Optimise and control administrative resources effectively. Organize meetings / forums and
arrange functions / conferences and events. Control time and priority of own and manager’s actions.
• Give input, make recommendations and plan, organize, control, report on and maintain work
practices that are reflective of integrated and optimal office management and administrative
systems (e.g. financial practices, document and filing management, etc.) toward achieving
departmental goals and targets.
• Ensure that work standards are met according to quality, quantity and due dates. Implements
and adhere to commercial policies, procedures and guidelines. Demonstrate an understanding of
relevant Business Unit/Business Areas and Departments.
• Ensure that work outputs meet quality and compliance standards reflected in tasks that
contribute towards effective filling, office and document management and general administrative
support practices. Achieve safety and risk objectives.
• Awareness, focus and control of cost / budget. Control stock of stationery and office supplies
and effective office administration/management. Coordinate safety, health and environment issues
in the office area.
• Support the Department to achieve Safety risk objectives and behave in a manner that ensures
a safe, risk free work environment. Manage general project office housekeeping
• Provide high level support services that impacts the effectiveness of the manager/s and his/her
functional area.

Requirements:
• Relevant Certificate (2 yr) and typically 3 years relevant experience
OR
• Relevant Diploma (3 yr) and typically 2 years relevant experience
OR
• Grade12 and typically 5years relevant experience
• Divers License and own transport
