Job Description:
As the Team Assistant your responsibilities will include but not limited to:
Arrange travel, visas and accommodation for the Commercial department, by liaising with travel agents and relevant parties
Organise and coordinate all visits of consultants and other providers for the Commercial department, according to procedures
Perform effective and efficient general office administration such as diary management and order processing thus contributing to the achievement of the team objectives.
Process Requisitions & SAP orders
Compile, coordinate and monitor the Commercial HODs department calendars
Order stationery and other consumables for the HOD’s office
Book meeting rooms, catering and equipment
Reconcile general and travel expenses in line with company policy.
Taking minutes for HOD’s meetings
Reconcile general and travel expenses in line with company policy.
Log invoices received and submit to accounts for payment
Perform expense reconciliation and invoice administration.
Provide general admin support as necessary.
Assist team members with time related activities.
Compile various monthly updates for purposes of providing feedback to relevant stakeholders
Process all documentation according to company policies and procedures as well as document control principals, within specified set time frames to ensure compliance.
File all documents in accordance with document control requirements to ensure compliance and ease of retrieval for future reference.
Distribution of relevant documents to appropriate internal and external stakeholders (memos, DMR reports legislative information, etc.)
Perform background search for documents necessary for ad-hoc and formal inquiries (WI’s, one-pagers, memo’s, etc.) and presentation there-off to the Supply Chain management team
Qualifications:
Grade 12 Certificate / N3 Technical
Secretarial Diploma or relevant / N6 Management Assistant
MS Office, SAP and Excel
Valid driver’s license
Experience:
Excellent organisational and interpersonal skills
Ability to analyse and prioritise
Ability to deal with clients in a professional manner
Strong team focus and willingness to assist others where necessary
