Five-year fixed-term contract, renewable.

Responsibilities:
The objective of this role is to ensure the efficient Coordination of travel in the Commission and ensuring that all logistics and planned travel by Commission staff is carried out successfully.

• Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns
• Review Travel processes and procedures annually to ensure that they achieve compliance.
• Contribute to the strategy for the travel unit.
• Contribute to the development and implementation of internal controls and guidelines for the Travel section.
• Draft recommendations on changes to the Travel policy annually, based on changes to legislation, for the CFO’s approval.
• Check that policies are in line with the Division’s strategic objectives, Treasury guidelines and legislation.
• Manage adherence to specified Travel frameworks and policies.
• Implement corrective measures where deviation to stipulated policies is identified.
• Develop, implement and maintain effective and efficient procedures and templates for Travel processes and reporting.
• Ensure that all travel arrangements are approved by the respective Divisional Manager within 24 hours of submission.
• Liaise with travel agents to obtain quotations for flights, accommodation and car hire; discussing various travel options.
• Check that Purchase orders are appropriately authorized and valid, accurate documentation is attached.
• Manage Forex allowances in accordance with the Commission’s policy and procedure.
• Obtain the necessary authorization and perform calculations required so that client’s receive the correct foreign currency.
• Oversee filing, batching and processing of travel invoices.
• Be able to work with outside travel agencies
• Research, negotiate, and secure rate with airlines, car rental companies, and hotels

Other considerations:
• Practical work exposure to area of expertise will be further considered to balance against other requirements.

Requirements:
We are looking for a dynamic, hardworking and a committed individual who meets the following requirements:
• 3 year Diploma in related field or relevant Bachelor’s degree. Honours will be an added advantage.
• 4 years+ overall relevant working experience in overseeing and administering an internal travel function.
• Proven understanding of the industry and best practice
